1. Count pieces by garment and size
List each garment group on its own line: navy polos, medium, four pieces; navy polos, large, six pieces. Separate shirts from jackets and check the total. If sizes are still being collected, mark the quantities as estimates.
2. Match names to the right pieces
Pair each exact name with its garment, color, size and quantity. For example: Alex Rivera, navy polo, medium, two pieces. Specify the logo version and placement for each garment type, including where any additional name should sit.
3. Show the garments you have
Say whether you own the garments or need help choosing them. For items in hand, send photos of the whole piece and proposed embroidery area. To match an existing uniform, include a clear photo and identify the details to match.
4. Review one complete list
Add the date your crew needs the pieces and whether it is flexible. Review counts, names and placement against the same list when discussing the quote. If something changes, send the revised list with updated totals.

Example — Hi Beast Ink, we have eight navy work shirts: three medium and five large. We want our logo on the left chest and each person’s name on the right chest. I will attach the logo, shirt photos and names matched to sizes. Could you review this for a quote?
